How to create and track transfer orders

Written on .

Moving inventory between locations is a routine part of running more than one store, whether that's shifting stock from a warehouse to a shop floor or rebalancing levels between two retail locations. Without a clear process, transfers are easy to lose track of, and inventory levels can end up out of sync with what's actually on the shelf.

Shopify's own transfer order system covers the basics well. You can create a transfer order in the Shopify Admin, specify products and quantities, and track its status as it progresses, with inventory levels updating automatically once it's completed.

It's flexible too, since transfers can be used for moving stock between locations or for receiving inventory from suppliers. The catch is that managing transfers on Shopify POS requires a POS Pro subscription, which can be a significant added cost, and even then the POS experience itself is fairly basic and can allow staff to change the process.

That's where Stock Takes by Pimsical comes in. It integrates seamlessly with Shopify's own transfer orders, so nothing about your existing setup changes — it just gives you a better way to manage the process day to day.

How it helps

  • Manage transfers without a POS Pro subscription - process the entire transfer, from viewing to completing it, on Shopify POS, without needing to pay for POS Pro ($89 USD / £69 GBP a month per location)
  • Work from one place - view and manage transfer orders created in the Shopify Admin, then handle the whole process on Shopify POS, so staff aren't switching between different apps to get the job done
  • Stay stocked automatically - set replenishment min/max levels for your products, and have transfer orders created automatically when inventory falls below your minimum, similar to how Stocky used to work
  • Get a smoother experience on the shop floor - an optimised, purpose-built flow for managing transfer orders on Shopify POS, designed to make the process as efficient as possible for the people actually doing it
  • Controlled workflows - define and limit what staff can do on transfers, ensuring your process is followed and no mistakes or shortcuts are taken

Worth knowing

  • Stock Takes by Pimsical isn't free, though a 30-day free trial gives you full access to every feature
  • Our step-by-step transfer process can be slower than manually processing a transfer in one go — a small trade-off for the added structure and accuracy
